Job Description

The Location/Workplace Specialist collaborates closely with the Regional Location Manager on all activities and works hand-in-hand with the local HR Operations team.

This role is responsible for daily operations and facility management, ensuring that our teams are fully equipped and empowered to focus on creating great games.

A key aspect of the Location Specialist’s role is building and maintaining strong relationships while understanding the unique needs of key stakeholders, including both local and global management.

The success of this role depends on a deep understanding of the matrix structure within the organization, particularly how local and global teams interact, as well as how product groups and support functions align and collaborate.

What will you do?

The role encompasses four primary groups of activities:

  1. Ensure Safety and Compliance
    • Prioritize the security of people and facilities, ensuring a safe working environment.
    • Collaborate with the HR Operations team to ensure compliance with local laws and adherence to office rules.
    • Ensure compliance with global health and safety policies, promoting a safe and secure workplace environment.
  2. Be the Face of Wargaming in Warsaw
    • Represent Wargaming in interactions with local suppliers and service providers.
    • Serve as the welcoming point of contact for visitors, embodying the company’s values and culture.
    • Support business travel by coordinating with the Travel Team on local transport, hotels, restaurants, and activities.
  3. Manage the Workplace
    • Act as the primary point of contact with CitySpace, the office space provider, to coordinate day-to-day building and facility matters.
    • Plan and manage office space to meet evolving business needs, suggesting and coordinating changes with local teams and the CFO Team.
    • Maintain the Officespace tool, ensuring updates twice a year and coordinating with IT for any necessary changes.
    • Regularly review and confirm the accuracy of the space plan, including room sizes and proper team allocations.
    • Oversee the inventory of office supplies to ensure availability and cost efficiency.
    • Manage incoming and outgoing postal and courier services to support smooth daily operations.
    • Administer access control by ordering and tracking permanent and temporary access cards, liaising with CitySpace when needed.
  4. Create a Friendly and Efficient Workplace
    • Build and maintain strong relationships with employees on site, across both product teams and support functions.
    • Proactively suggest employee-friendly office features, decorations, or updates to enhance the work environment.
    • In collaboration with the EU Regional Location Manager, act as the point of contact for planning and managing local events to strengthen team cohesion and engagement.
    • Support the onboarding of new employees by providing guidance on local policies and coordinating with IT, Finance, and HR.
    • Manage the allocation and coordination of parking spaces in line with internal needs.
  5. Budget Management
    • Oversee the office lease agreement in coordination with the CFO, including negotiation of terms and renewals.
    • Manage the local budget, covering office supplies, events, and procurement needs.
    • Track and control location and office cost centers to ensure accurate financial management.
    • Plan and organize local events in alignment with management needs, while staying within budget.
    • Prepare and report all budget-related matters for approval by the EU Regional Location Manager.

What are we looking for?

  • Hospitality, office management, or workplace coordination experience.
  • Proactive and persistent personality: someone who follows up, makes things happen, and is comfortable negotiating with suppliers and vendors.
  • Excellent communication and Interpersonal skills: able to represent Wargaming with professionalism and build positive relationships with employees and external partners.
  • Strong organizational skills with the ability to manage invoices, purchase orders, budgets, and space planning.
  • Health & Safety knowledge / compliance awareness: familiarity with H&S practices, office safety standards, or willingness to quickly learn them is required.
  • Event planning mindset: enjoys organizing team gatherings and creating an engaging workplace environment.
  • Languages: Fluent Polish + Fluent English.
  • International mindset: comfortable working in a multicultural environment.

Work mode

  • Onsite: due to nature of the role, full-time presence in the office is required.
  • This role is not eligible for relocation & visa support.

Type of Contract

  • Employment Contract (umowa o prace)
