THE ROLE & TEAM  

This role is the first of its kind at Genius and our new team member will bridge the gap between our Finance and People teams to ensure that our UK (and other smaller offices) payroll is processed seamlessly. We are looking for someone who has a drive for change and optimising our current processes as well as a natural tendency to be in the detail.   

Working within the Finance Team reporting into the Regional Finance Controller this role will work closely with the UK People Operations Team providing our UK payroll service to circa 300 employees in London, Manchester, and remote employees too. 

This role would also oversee our monthly payrolls for Australia (24 employees) and Singapore (11 employees)  working with external payroll support.  In addition, we have a small number of remote employees outside of the UK, engaged via Employers of Record where the administration of their salaries is also managed via the UK. 

We currently outsource our main UK payroll service to an external provider (Immedis/UKG), where core employee and salary data is provided to the payroll provider via an integration with Workday.  There is still a requirement to enter additional data directly into the Immedis portal and to upload variable payment data as and when required each month. 

Operational delivery excellence:  Responsible for the end-to-end operational delivery of the payroll including the employee experience with the monthly requirement of 100% accuracy. 

Payroll and Benefits:  Day to day responsibility for the successful processing of payroll and benefits enrolment, working with our payroll and benefits providers and finance colleagues on the delivery of these monthly processes 

People Processes and Controls: Ensuring compliance with internal policies, external regulations and that our SOX controls are met. Working with key stakeholders (e.g., people operations, the wider people team, systems and data team) to develop new ways of working that may be more effective and appropriate to our size.   

Data, Systems & Documentation: Taking ownership of people data integrity within the payroll platform ensuring that it is aligned with Workday, that data accurate and regularly updated.  Support and promote effective use of Workday and other HR systems which impact and improve successful payroll delivery and accuracy.  

Projects & Programmes: Act as the Finance team lead on payroll for projects relating to payroll governance, benefits renewals and implementation of any new people/benefits/payroll technology. 

Communication & Ownership: Point of contact for business relationship with external providers for payroll’s managed, owning regular communication and process improvements with 3rd parties. 

DUTIES & RESPONSIBILITIES 

  • Manage all aspects of payroll within the UK, with administration of some additional small international payrolls; 
  • Reviewing processed payroll for corrections; 
  • Ensure compliance with legislation and reporting requirements; 
  • Handle holiday, absence, PILON and sick pay calculations where required; 
  • Overseeing HMRC-related payroll returns;  
  • Participating in system improvements; 
  • Working closely with our tax team to run and manage year-end procedures, including preparation of P11Ds for employees; 
  • Maintaining internal controls and audit compliance; 
  • Managing pension, health care, CTW and other payroll related enrolments; 
  • Ensuring new employees and changes in our HRIS system (Workday) integrate and are reflected accurately in the payroll system; 
  • Provide advice and support regarding pay review, benchmarking etc; 
  • Provide general guidance to employees as required (e.g. on pensions, benefits in kind and end of year tax returns (if applicable); 
  • Support on global mobility activities, ensuring smooth transition for employees between current and future locations and payroll systems; and 
  • Ensure that our equity vesting (sell to cover) is reflected and managed accurately and compliantly within payroll. 

REQUIRED SKILLS & EXPERIENCE 

  • Deep knowledge of payroll processes and experience of optimising them; 
  • Working with external payroll providers and Employer of Records;  
  • Experience of operating within a global business environment 
  • Experience of working within internally and externally regulated frameworks e.g. ISO, Internal Audit requirements, SOX controls or similar. 
  • CIPP qualification and membership desirable
